Building the operational backbone of a luxury travel company.
Building the operational backbone of a luxury travel company.
Challenge
Complex guest experiences were being coordinated across disconnected systems, creating unnecessary admin, limited visibility and increasing operational risk.
Rapid growth had created operational complexity
PXM Explore is a luxury destination management company based in Puerto Escondido, Oaxaca, creating bespoke travel experiences for international visitors.
Its offering extends far beyond accommodation. A single booking might include a luxury villa, airport transfers, private chefs, yacht charters, DJs, wellness sessions, fitness experiences and personalised concierge requests.
Each element can involve different suppliers, schedules, payment arrangements and guest requirements.
As booking volumes grew, this complexity became increasingly difficult to manage. HubSpot, spreadsheets, WhatsApp Business, emails, phone calls and verbal updates were all being used to coordinate different parts of the customer journey.
Information was fragmented, supplier communication required considerable manual effort, and the team lacked one reliable view of each guest’s complete experience.
With PXM Explore expanding into corporate travel, executive retreats, weddings and group bookings, it needed more than another project management tool. It needed an operational foundation capable of supporting continued growth without compromising its highly personalised service.
Booking and guest information was spread across multiple platforms
Supplier coordination relied on repetitive manual communication
The team lacked one complete view of each guest journey

Solution
We combined ClickUp, automation and AI to connect bookings, suppliers, payments and guest experiences within one purpose-built operating system.
An operating system designed around the complete guest journey
We began by mapping how PXM Explore operates from the moment an enquiry is received to the completion of the guest’s stay.
This meant looking beyond individual tasks and documenting how leads, bookings, accommodation, experiences, suppliers, payments, guest communication and internal responsibilities all connect.
We then designed and built a bespoke operational platform inside ClickUp.
Rather than simply transferring existing processes into new software, we redesigned the workflows themselves. Repetitive coordination was automated, disconnected information was brought together and clear relationships were created between every part of a booking.
An enquiry can now move seamlessly from lead to confirmed booking. Villas, transfers, experiences and concierge requests are connected to the central guest record, giving the team a complete view of the itinerary and everything required to deliver it.
When an experience is booked, the relevant supplier automatically receives the necessary details, including dates, locations, guest requirements and expected invoice values. Suppliers can confirm directly, and their response is reflected in ClickUp without the operations team having to chase updates across different channels.
The platform also includes AI-powered operational support. It can research suitable flight options using existing booking information and monitor weather conditions across active stays and planned experiences. This helps the team identify possible disruption early, adjust itineraries and communicate proactively with guests.
The result is not simply a ClickUp workspace. It is a connected operating system designed around how PXM Explore sells, coordinates and delivers luxury travel.
Centralised booking and guest management
Automated supplier coordination and confirmations
Connected villa, transfer and experience workflows
AI-powered flight research and weather monitoring
Dedicated pipelines for corporate, wedding and group travel

Result
PXM Explore gained the operational foundation to grow while protecting the responsive, white-glove service at the heart of its brand.
Less administration. Greater visibility. A more scalable guest experience.
The new platform transformed a collection of fragmented processes into one connected operational system covering almost every stage of the customer journey.
Manual booking administration was reduced by an estimated 52%, giving the team more time to focus on guests, partners and business growth.
Automated supplier workflows reduced the time spent coordinating bookings and confirmations by approximately 70%. The operations team can now see which services have been confirmed, what each supplier needs and where action is required without searching through emails, messages and spreadsheets.
Bringing more than eight tools and communication channels into one operational environment also created a reliable source of truth for the business. Everyone can work from the same information, with clear visibility across bookings, itineraries, suppliers, payments and internal responsibilities.
Most importantly, greater efficiency behind the scenes has strengthened the service guests receive. The team can anticipate issues, respond faster and coordinate increasingly complex experiences without losing the personal attention expected from a luxury destination management company.
PXM Explore now has a scalable operational backbone capable of supporting higher booking volumes, new services, additional suppliers and its growing corporate travel offering.
52% reduction in manual booking administration
70% faster supplier coordination
8+ disconnected tools and communication channels consolidated
One connected view of every guest experience
